Privacy Policy

Last updated: 2026

1. Introduction

This Privacy Policy ("Policy") explains how SpaceIndustry.jobs, operated by O-mega Enterprise, Inc. ("we", "us", or "our"), collects, uses, discloses, and protects personal information when you visit or use our website, applications, and related services (together, the "Service").

By using the Service, you acknowledge the practices described in this Policy. If you do not agree with this Policy, please do not use the Service.

The "Last updated" date shown with this Policy indicates when it was most recently changed.

2. Who We Are

O-mega Enterprise, Inc., the company that operates SpaceIndustry.jobs, is the controller responsible for the personal information described in this Policy, meaning we decide how and why that information is used. Our mailing address is 131 Continental Dr, Suite 305, Newark, DE 19713, United States.

If you have any questions about this Policy or about how we handle personal information, you can reach us using the details in the Contact Us section at the end of this Policy.

3. Information We Collect

The personal information we collect depends on how you interact with the Service. It may include:

  • Information you provide to us, such as details you share if you create an account, complete a form, subscribe to communications, respond to a survey, or contact us.
  • Identifiers and contact details, such as a name, username, email address, or similar identifiers, where you choose to provide them.
  • Usage and device information, such as how you interact with the Service, browser and device type, and general location inferred from technical data, collected automatically when you use the Service.
  • Cookies and similar technologies, as described in the Cookies and Similar Technologies section below.
  • Communications, such as the content of messages, requests, or feedback you send to us.

We may also derive or combine information from the categories above, such as preferences or inferences drawn from how the Service is used.

You are generally not required to provide personal information, but some features may not be available if you choose not to.

4. How and Why We Use Your Information

We use personal information for purposes that may include:

  • Providing, operating, maintaining, and improving the Service.
  • Creating and managing accounts and providing related support, if you create an account.
  • Responding to your inquiries, requests, or feedback, if you contact us.
  • Personalizing content and understanding how the Service is used so that we can improve it.
  • Sending administrative or service-related messages and, where applicable and permitted, marketing communications that you can opt out of at any time.
  • Maintaining the safety, security, and integrity of the Service, and detecting, preventing, or addressing fraud, abuse, or technical issues.
  • Complying with applicable law and enforcing our terms and agreements.

The Service may be operated, in whole or in part, using automated and AI-assisted tools. We use personal information only for the purposes for which it was collected or for compatible purposes, unless we obtain your consent or are otherwise permitted by law.

We do not generally make decisions that produce legal or similarly significant effects about you based solely on automated processing. Where any such processing takes place, we will provide the information and safeguards required by applicable law.

5. Legal Bases for Processing (EEA / UK)

If you are located in the European Economic Area, the United Kingdom, or a region with similar laws, we process personal information only where we have a valid legal basis to do so. Depending on the situation, these bases may include:

  • Consent, where you have given us permission to process your information for a specific purpose, which you may withdraw at any time.
  • Performance of a contract, where processing is necessary to provide a service or feature you have requested, or to take steps at your request before entering into a contract.
  • Compliance with a legal obligation, where we are required to process information under applicable law.
  • Legitimate interests, where processing is necessary for our legitimate interests (such as operating, improving, and securing the Service), provided those interests are not overridden by your rights and interests.

Where we rely on legitimate interests, you may object as described in the Your Data Protection Rights section below. Where we rely on consent, you may withdraw it at any time, without affecting the lawfulness of processing that already took place.

6. Cookies and Similar Technologies

We and our providers may use cookies, pixels, tags, local storage, and similar technologies to operate the Service, remember your preferences, understand how the Service is used, and, where applicable, support analytics and marketing.

You can usually control these technologies through your browser or device settings and, where we make one available, through a cookie preferences tool. Some parts of the Service may not function properly if certain cookies are disabled.

Depending on how the Service is configured, some of these technologies may be provided by third parties whose own privacy practices apply to the information they collect.

7. How We Share Your Information

We may share personal information with categories of recipients such as:

  • Service providers and vendors who perform functions on our behalf, such as hosting, storage, analytics, payment processing where applicable, communications, customer support, and security, and who are permitted to use the information only to provide those services to us.
  • Professional advisers, such as accountants, auditors, or legal advisers, where reasonably necessary.
  • Legal, regulatory, and law enforcement bodies, where we believe in good faith that disclosure is required or permitted by applicable law, or is necessary to protect our rights, our users, or the public.
  • Parties to a business transaction, such as in connection with a merger, acquisition, financing, reorganization, or sale of assets, in which case personal information may be among the transferred assets.
  • Other parties with your consent or at your direction, or where you otherwise choose to share information through the Service.

We may also share information that has been aggregated or de-identified so that it does not reasonably identify you.

Some privacy laws define a "sale" or "sharing" of personal information broadly, so that certain uses of cookies, analytics, or advertising technologies may fall within those definitions even when no money is exchanged. Where that is the case, you can exercise the choices described in the Your California Privacy Rights section below.

8. Your Profile and Your Weekly Roles Email

When you create a free profile, we read what you give us about your work to match you to roles: your LinkedIn profile link, your CV, or what you write about your work (a sentence, or as much as you like) together with your first and last name, which become your account name. An AI model turns it into a short reading of where you fit (the kinds of work, a few job titles, and the country you live in), which we keep with your account and use to rank open roles for you on the site and in your emails.

  • Your LinkedIn profile. If you give us your LinkedIn link, we send it to our data provider, Icypeas, which reads that public profile, and we keep the whole public profile it returns with your profile (for example your headline, work history, education, skills, and languages). The AI model reads your work, education, skills, and languages, never your name or contact details. If your account has no name yet, the first and last name on that profile become your account name, which you can change at any time in your account settings.
  • Your CV. If you upload your CV (a PDF or a Word file), or paste its text, an AI model, which our platform provider runs for us, reads it: your work history with its dates, your education, your licences and certifications, your languages, your skills, and other evidence of your expertise such as publications. We keep that reading with your profile, together with the file's name, size, and page count. We do not keep the file itself, and we do not keep the email addresses, phone numbers, or street address on it. If your account has no name yet, the name on your CV becomes your account name, which you can change at any time in your account settings.
  • Employers you already have an account with. If you tell us which of the employers we list you already have an account with, we keep that list with your account and use it to show you the employers you have not applied to yet and to order your matches. You can change or clear it at any time in your account.
  • "Do I qualify?" When you check a role, the AI model compares your reading with that role's own details, and we keep its answer (strong, possible, or unlikely, and why) with your account, so you can see it again.
  • Match emails. With an account, you receive an email with the roles that match your profile, about once a week. Every email has a one-click unsubscribe link, and you can also turn the emails off in your account. If you unsubscribed from our emails before, creating an account does not turn them back on.
  • You stay in control. You can update your profile or remove it at any time in your account, and see everything we keep with it there. Removing it deletes the reading, the LinkedIn profile and the reading of your CV kept with it, and your saved checks.

9. The Scam Checker, the AI Interview Practice and "Can I Do This Next to My Job?"

None of these tools needs an account, and we do not keep what you put into them unless you ask us to.

  • The scam checker. What you paste is checked by our code and read once by an AI model, which our platform provider runs for us, to judge whether it looks genuine. We do not store the text, the links or the addresses in it. We count only how many checks end in each verdict, without anything that identifies you or the message.
  • "Can I do this next to my job?" Your answers to its questions (where you work, who employs you, your profession, your visa or situation) are written into the page's address so you can share or bookmark the result, and the answer is worked out in your browser from the rules on the page. If you paste parts of your contract, handbook or policy, that text is read once by an AI model, which our platform provider runs for us, and is not stored. We count checks by their answers (the country, the kind of employer, the profession, the visa type and the outcome), never by what you pasted. If you are signed in and choose to keep a check in your workspace, we keep its answers with your account, and the clauses you pasted and their reading only if you tick that box; you can delete a kept check there at any time.
  • The AI interview practice. Your background, each answer you type and the feedback are sent to the AI model one step at a time to write questions and feedback, and are not stored on our side. The round itself (its questions, your answers and the feedback) is kept in your own browser's storage so you can carry on later; "Start a new round" or clearing your browser data deletes it. We count practice steps (the employer and kind of role chosen), never what you wrote.

10. How Often We Contact You, and Reminders

We keep one record of every message we start toward you (the kind of message, the day, and the employer it was about, never its text), and every message passes one check against that record before it goes, whatever sends it.

  • Never many in a day. A message we start on our own waits until 24 hours have passed since the last message from us, counted across every channel together. The weekly roles email you subscribed to arrives on its own schedule. The next step we send minutes after your own Apply click waits 24 hours after another reminder. Each message about one thing goes once. A confirmation you asked for is not counted.
  • Only when it is relevant. A reminder about an employer is sent only if you are new to that employer, and not when every role you clicked there was checked against your profile and judged unlikely.
  • Reminders an employer sends. When you apply to an employer through one of our referral links, that employer shows us, as the referrer, that someone applied, on which day, and how far their application is. Some employers let the referrer have the employer send its own reminder to finish the application. We use that while you are still waiting on a step there and the employer offers it, never inside the 24 hours after another message from us.
  • How we recognise you there. We do not keep the name an employer shows us. We compare a one-way fingerprint of it with the fingerprint of the name on your account, and only for accounts that clicked Apply at that employer within three days of that application. A match lets us apply the limits above, skip a reminder for a role judged a poor match, and note on your account that you already have an account with an employer when the employer reports you had one there before.
  • When an employer hires you. When an employer's referral list shows that someone we sent was hired or started work there, or you mark it yourself in your workspace, we email you once about it: congratulations, the open roles your friends and colleagues would fit (matched from your profile, with what each would pay you under our referral program), and your own link to share with them. We recognise you the same way, by a one-way fingerprint of the name (or of the email address, where the employer's list shows one) compared with your account's or your subscription's, and by a name only for an account that clicked Apply at that employer through us. We keep nothing about anyone we cannot match. That email counts toward the limits above.
  • Our referral program. If your profile here shows that you work in the United States as a licensed or degree-holding professional, and you applied to a role through us, we may email you once about our referral program: the open roles your colleagues would fit (matched from your profile, with what each would pay you), and your own link to share with them. Whether your profile shows that is read once from what it says. Not if you are already in the program, or were invited after an employer hired you. That email counts toward the limits above.
  • When it cannot go on its own. When the day between messages has kept one of those two emails (after an employer hires you, or about our referral program) from going for 24 hours, it goes once as a section of your next weekly roles email instead of as a message of its own.
  • Your choice. Unsubscribing from our emails also stops the reminders we ask an employer to send to your account.

11. Professionals We Email About a Role

If you work in the United States in a field an open space industry role asks for (for example as an engineer, a technician or a scientist), we may email you once about that one role, with one follow-up. We get your name, job title, employer, city, and work email address from our licensed business-contact data provider, Icypeas, and for roles with a larger referral bonus also your public professional profile (headline, experience, education, and listed skills), and we use them only to decide whether a role fits you and to tell you about it, on the basis of our legitimate interest in letting professionals know about paid work in their own field. Before we write, an AI model assesses that information against the role (your profession, specialty, seniority, and the credentials the role requires); it never judges anything from your name, and we write only when the role fits.

  • What we keep. Your name, title, employer, city, work email address, the role we wrote to you about, the assessment of how well it fits you and why, the email we wrote you (written with the help of an AI model from those facts only), whether it was sent, answered or opted out of, and what your reply asked. The link in the email carries a code, so we also record whether you opened that role's page and clicked Apply on it. If you apply through our link, the employer's referral dashboard shows us your application status. We do not share any of it with the employer hiring for the role or with anyone else.
  • Your choice. Every email has a one-click unsubscribe link; after it, or if you ask us, we do not email you again. You can also ask us to delete what we keep about you by replying to the email or writing to us.

12. Creators We Email About Our Creator Program

If you publish content in the United States about work, careers, engineering, science, or space, we may email you once about our creator program, with one follow-up. We get your name, job title, business, city, and business email address from our licensed business-contact data provider, Icypeas, and we use them only to tell you about the program, on the basis of our legitimate interest in offering a business partnership to creators whose audience it fits.

  • What we keep. Your name, title, business, business email address, why we wrote to you, and whether the email was sent, answered, or opted out of. We do not share them with anyone.
  • Your choice. Every email has a one-click unsubscribe link; after it, or if you ask us, we do not email you again. You can also ask us to delete what we keep about you by replying to the email or writing to us.

14. Candidate Pool and Introductions

If you join our candidate pool from your account, we keep the details you give us for it: your name, the country you live in, your languages and your level in each, your profession or field, your education, whether you hold a professional license, your years of experience, the hours you have, the kinds of work you can do, and an optional profile link. We use them to find roles at space companies that fit you and to ask you about those roles by email and in your account. We rely on your consent for this, and you can withdraw it at any time by leaving the pool.

  • Your LinkedIn profile is not read again for this. The details are filled in from what your account already holds: the public LinkedIn profile kept with your profile (see how we match you to roles above), and the kinds of work your profile matches. You can see and change every detail before you join, and remove your profile at any time.
  • Nothing is shared when you join. We share your details with a company only after you said yes to that company's specific role in your account.
  • What a company receives is the details listed above, a summary of the LinkedIn profile kept with your profile (your headline, location, recent roles, education, and skills), and your email address, so that it can contact you about that role. A company you were introduced to handles your information under its own privacy policy.
  • You stay in control. You can edit your details, pause requests, say no to any role, or leave the pool at any time in your account. Leaving deletes your pool details and your request history.
  • What we record is when you joined, each role we asked you about, your answers, and when we introduced you, so that you can see your history and we can keep our commitments to you.

15. Verified Experts

If you apply to Verified Experts, our verified community for US licensed and degree-holding professionals, we check that you hold the credential you state before you join, on the basis of your request to join. We use what you give us in the application (your name as on your licence or diploma, your profession, the state you work in, and any NPI number, licence number, work or university email address, or public page you add) and the profile your account already holds.

  • Public records we search. The federal NPI Registry, by the NPI number you gave or by your name and state, and, where a state publishes its own register of the licences it issues (today Colorado, Washington, Delaware and Illinois), that register, by your name and the licence number you gave. When you apply from your profile or give a public page, our check may also search the public web for a page that shows your role.
  • A work or university email is confirmed by a code we send to it. An email address you confirmed at sign-up at a workplace or a university counts too.
  • How it is decided. An AI model weighs these records and what you gave us, the way a credentialing desk would, and decides whether you are verified or names the one thing that would settle it. We email you the answer.
  • What we keep with your application: what you gave us, what the searches returned (the matching records, each with its public link), the decision and its reason.
  • Your choice. You can leave the community at any time in your account, and ask us to delete your application and everything kept with it by writing to us.

16. International Data Transfers

The Service may be operated from, and information may be processed in, countries other than the one in which you are located. These countries may have data protection laws that differ from those in your jurisdiction.

Where we transfer personal information across borders in a way that requires additional protection, we take steps to ensure appropriate safeguards are in place, such as relying on standard contractual clauses approved by the relevant authorities, an adequacy decision, or another lawful transfer mechanism, where applicable.

17. Data Retention

We retain personal information for as long as necessary to fulfil the purposes described in this Policy, unless a longer retention period is required or permitted by applicable law (for example, to comply with legal, tax, accounting, or reporting obligations, to resolve disputes, or to establish, exercise, or defend legal claims).

The criteria we use to determine how long to keep information include the nature and sensitivity of the information, the purposes for which it is processed, and applicable legal requirements. When personal information is no longer needed, we take reasonable steps to delete, anonymize, or otherwise remove it.

18. Security

We use appropriate technical and organizational measures designed to protect personal information against unauthorized access, disclosure, alteration, loss, or destruction. The measures we consider appropriate take into account the state of the art, the nature, scope, and context of the processing, and the risks involved for individuals.

No method of transmission over the internet or method of electronic storage is completely secure, however, and we cannot guarantee absolute security. You also play an important role in keeping information secure, for example by protecting any account credentials and using the Service responsibly.

19. Third-Party Links and Services

The Service may contain links to, or integrations with, third-party websites, products, or services that we do not operate or control. This Policy does not apply to those third parties, and we are not responsible for their content or their privacy practices.

We encourage you to review the privacy policy of any third party before providing it with personal information.

20. Our Apps, Browser Extension, Bots and AI Assistants

SpaceIndustry.jobs is also available outside this website. Each of these handles information as follows.

  • Browser extension (new job alerts, for Chrome, Microsoft Edge, Opera and Firefox). It keeps your alert settings (kinds of work, minimum pay, country, notifications on or off) and the list of roles it has already shown you in your browser's own storage. To find new roles it requests our public job list with those filters and any search words you type. It sends no name, email address, browsing history or other personal information, has no account, no analytics and no third-party code, and does not read the pages you visit. Removing the extension deletes what it stored.
  • Telegram bot. When you start it, we store your Telegram chat ID, the username and app language Telegram shares with every bot, the link you came from, and the alert settings you choose, so we can send you the alerts you asked for. Send /stop to turn alerts off, or block the bot to stop all messages. To have your record deleted, contact us.
  • ChatGPT GPT and AI assistants (our GPT in ChatGPT and our MCP server for AI assistants). The assistant sends us only the search filters it chose for your question (keywords, kind of work, country, pay). We do not receive your conversation, your name or your account. What you share with the assistant itself is covered by its provider's privacy policy.
  • Chat bots and agents (our bot on Poe and our agent on Fetch.ai Agentverse). They send us the message you typed to the bot, and Poe also sends an anonymous Poe user ID. We use the message only to search the open roles (on Poe, an AI model reads it once to turn it into a search, as our website's search box does) and the user ID only to limit how many searches one person can run per minute. We do not store your conversation, and neither service tells us your name or account. What you share with Poe or Agentverse is covered by its own privacy policy.
  • Hugging Face Space and Apify Actor. They request our public job list with the filters you choose and receive no personal information from us; your use of those sites is covered by their own privacy policies.
  • Installed app (from the Microsoft Store, an Android app store, or "Install app" in your browser). The app opens this website, so this Policy applies to it exactly as to the website.

Links from any of these to our website carry a short tag naming the app (for example "telegram-bot"), so we can count how many visits each app sends. The tag identifies the app, never you.

21. Your Data Protection Rights

Depending on your location and applicable law, you may have some or all of the following rights in relation to your personal information:

  • Access, to obtain confirmation of whether we process your information and a copy of it.
  • Rectification, to have inaccurate or incomplete information corrected.
  • Erasure, to request that we delete your information in certain circumstances.
  • Restriction, to ask us to limit how we process your information in certain circumstances.
  • Portability, to receive certain information in a structured, commonly used, machine-readable format, or to have it transferred to another provider where technically feasible.
  • Objection, to object to certain processing, including processing based on legitimate interests and processing for direct marketing.
  • Withdrawal of consent, where we rely on consent, at any time and without affecting processing that already took place.

You can exercise these rights by contacting us using the details in the Contact Us section. We may need to verify your identity before responding, and we will respond within the timeframe required by applicable law. Exercising these rights is free in most cases, and you will not receive discriminatory treatment for doing so.

If you are in the European Economic Area or the United Kingdom, you also have the right to lodge a complaint with your local data protection or supervisory authority. We would, however, appreciate the opportunity to address your concerns first, so we encourage you to contact us before doing so.

22. Your California Privacy Rights (CCPA / CPRA)

If you are a California resident, you may have the following rights under California privacy law, subject to certain exceptions:

  • The right to know what categories of personal information we have collected, the purposes for collecting it, and the categories of sources and recipients.
  • The right to access a copy of the personal information we have collected about you.
  • The right to delete personal information we have collected from you.
  • The right to correct inaccurate personal information.
  • The right to opt out of the "sale" or "sharing" of personal information, as those terms are defined under California law.
  • The right to limit the use and disclosure of sensitive personal information, where applicable.
  • The right to non-discrimination for exercising your privacy rights.

The categories of personal information we may collect are described in the Information We Collect section, and the categories of recipients with whom we may share it are described in the How We Share Your Information section. We retain each category for the period described in the Data Retention section.

Do Not Sell or Share My Personal Information. Some privacy laws define "sale" and "sharing" broadly, so that certain uses of cookies, analytics, or advertising technologies may qualify even when no money is exchanged. To the extent SpaceIndustry.jobs sells or shares personal information as defined under California law, you have the right to opt out. Where this applies, you can exercise that right by contacting us or, where we make them available, by using the "Do Not Sell or Share My Personal Information" controls or cookie preferences we provide.

You may submit a California rights request by contacting us using the details in the Contact Us section. You may also use an authorized agent to submit a request on your behalf, subject to verification. We will handle requests in accordance with applicable law.

23. Children's Privacy

The Service is not directed to children, and we do not knowingly collect personal information from children below the age at which consent is required under applicable law in their jurisdiction.

If you believe that a child has provided us with personal information, please contact us, and we will take reasonable steps to delete it in accordance with applicable law.

24. Changes to This Policy

We may update this Policy from time to time to reflect changes in our practices, the Service, or applicable law. When we do, we will revise the "Last updated" date shown with this Policy and, where required by law or where the changes are significant, we will provide additional notice.

The version of this Policy that applies is the one made available through the Service as of the relevant date. We encourage you to review this Policy periodically.

25. Contact Us

If you have any questions, requests, or concerns about this Policy or about how we handle personal information, or if you would like to exercise any of your rights, you can contact us at hello@spacejobs.now.

You can also write to us at O-mega Enterprise, Inc., 131 Continental Dr, Suite 305, Newark, DE 19713, United States.
